Administrative Staff for CEO

    Work Type: Full Time / Experienced (Non-Manager)

    Salary: ¥3.6M ~ ¥5.0M / Year

    Overview

    Our client is seeking a highly organized and proactive Personal Assistant to support the CEO of our small IT consulting company. The role requires strong multitasking and communication skills, as you will be working directly with the CEO to ensure smooth day-to-day operations. This position offers the opportunity to be closely involved in company activities and gain exposure to a wide range of business functions.

    Responsibilities

    – Coordinate and manage the CEO’s daily schedule, appointments, and travel arrangements
    – Manage employee work schedules and assist with time management across teams
    – Serve as a point of communication between the CEO, employees, and external vendors
    – Handle basic bookkeeping tasks including expense tracking and invoice processing
    – Maintain office and IT equipment inventory, ordering supplies as needed
    – Prepare reports, documents, and correspondence as requested by the CEO
    – Assist in organizing company meetings, events, and other administrative tasks

    General Requirements

    – Bachelor’s degree or equivalent work experience preferred
    – Previous experience as a personal assistant, executive assistant, or in an administrative role
    – Strong organizational and time management skills with attention to detail
    – Excellent communication skills (both written and verbal)
    – Proficiency in MS Office (Word, Excel, Outlook) and familiarity with scheduling tools
    – Proficiency with MAC and iOS a plus
    – Basic knowledge of bookkeeping or accounting is a plus (Nissho Boki 3 or above)
    – Ability to work independently, prioritize tasks, and maintain confidentiality
    – Interest in IT or technology consulting industry is an advantage
